Addendum - Article XIII Reporting Documents(Emergency Cases)
OBJECTIVE FOR THE ADDENDUM:
1. To inform employees of what action to take when there are emergency incidents such as - sickness, accidents and any other irregular cases.
2. To identify the roles of the Engineering Supervisors, Engineering Managers, TSPI Administrative Manager and TSCL Administrative Supervisor in handling emergency incidents
Article XIII REPORTING REQUIREMENTS
Section 6. For Emergency Incidents
In case of business trip emergency cases, such as - sickness, accidents any other irregular incidents that will require assistance or help from TSPI and TSCL Administration Departments and Immediate Superiors (Supervisory/Managerial Level), the following procedures will be followed -
6.1 Employee will inform (e-mail or phone call) his/her Immediate Superior about the emergency case. If necessary for the e-mail emergency notification, the employee may furnish copy TSCL Admin Supervisor (if in Japan), TSPI Admin Manager and TSPI HR Manager for prompt action.
Example: Employee A is not feeling well and could not stand from his bed due to severe chest pain. He/She should immediately call his immediate superior who is with him in his business trip.
Note: If in case the immediate superior is not available or could not be contacted, the employee may call any of his co-employee (who is also with him during his business trip). The said co-employee will be in-charge of informing their immediate superior about the emergency case/problem. He/She may also take the necessary immediate action if required to be coordinated with the immediate superior or TSCL (if in Japan) and TSPI Admin.
6.1.1 If in case the employee is alone in his business trip, he/she should first research on the emergency hotline for hospitals and police station upon arrival in the place of his destination, so that s/he will know where/who to call in case of emergency.
Note: The employee may ask the needed information (for emergency hotline) from the front desk or information desk of the hotel/mansion where he/she will be/is staying.
6.1.2 The immediate superior (in the Philippines) of the employee who is alone in his business trip and TSPI HR Manager should check the condition of the said employee at least once a week, to ensure that he is safe and is in good condition.
6.2 If in case TSPI and TSCL (if in Japan) Admin are not yet informed about the emergency incident/s, the immediate superior will be in-charge of informing the said concerned parties. The said report should contain the following information -
1. Incident/Problem - nature of the incident/problem, date & time
2. Immediate Action - what action has been done
3. Requests - other actions that TSCL/TSPI Admin can be done to help/assist the employee
6.3 After the Immediate Superior informed TSCL Admin Supervisor (if in Japan), TSPI Admin Manager and TSPI HR Manager, prompt action should be done regarding the emergency problem by the concerned parties. TSCL (if in Japan) and TSPI Admin will report the status of action taken to all concerned and must make the necessary follow-up to fully support and ensure that all the assistance/help needed are well taken cared.
