Addendum - Article XIII Reporting Documents(Business Trip Visa)
OBJECTIVE FOR THE ADDENDUM:
2. To inform employees on the guideline procedures regarding the approved business trip visa.
3. To identify the roles of -
(1) Employee sent to a business trip,
(2) Immediate Superiors (Engineering Supervisors, Engineering Managers),
(3) TSPI-HR & Office Admin. Manager and
(4) TSCL Administrative Supervisor (if in Japan) in handling extension stay for business trip.
Article XIII REPORTING REQUIREMENTS
Section 7. For Approved Business Trip Visa
7.1 When the business trip visa gets to be approved, the employee who applied for visa shall inform and furnish the HR & Office Admin.Department a copy (photocopy) of his/her approved visa, on the same day that the visa was released.
The employee concerned should make sure that he complies with the approved business trip visa duration when he/she is already in the country destination, where he is assigned. Since the employee's passport has the original and stamped approved visa, he/she should also remind his Immediate Superior in the Philippines and Immediate Superior in Japan (if the business trip is in Japan) at least two (2) weeks before the expiration date of his/her visa, if in case there is a plan to extend his/her business trip stay.
7.2 The HR & Office Admin. Department Manager/Assistant shall inform the following about the duration of the approved visa -
a. General Manager- Administration Division
b. Administrative Manager
c. Immediate Superior of Employee (Filipino and Japanese Managers)
d. TSCL Administrative Supervisor
7.2.1 The HR & Office Administration Manager shall update the Business Trip & Working Visa Arrangement Report, indicating the approved visa's duration date/s (no. of days) that will serve as a monitoring chart.
7.2.2 The Immediate Superior in the Philippines and in Japan (if the business trip is in Japan) should first refer to the Business Trip and Working Visa Arrangement Report before he/she informs and approves to the client of any extension stay in the country where the employee is assigned.
7.2.3 The TSCL Administrative Supervisor (if the business trip is in Japan) should also monitor the Business Trip and Working Visa Arrangement Report before attending to any flight changes, as per request of the Immediate Superior, to avoid any flight and visa problems to occur.
